A good post-delivery thank-you note does three things: thanks the buyer for their business and time, references the specific vehicle they bought, and offers a clear way to stay in touch. Keep it short—three to five sentences—and write like you're talking to someone you just spent two hours with, because you did.

Here are four examples you can use or adapt.

Example 1: Simple and direct

"Thank you for choosing us for your new Accord. I really enjoyed working with you on Saturday, and I hope the first few days behind the wheel have been great. If any questions come up as you get familiar with the features, just give me a call—I'm happy to walk you through anything."

This works because it's specific (the model, the day), warm, and useful. It doesn't ask for anything.

Example 2: Acknowledging the process

"I know buying a car takes time, and I appreciate the trust you put in me during the process. Congratulations on the Silverado—it's a solid truck, and I think it's going to serve you well. I'm here if you need anything as you settle in, whether it's a question about the bed liner or just where to find the spare key."

This one acknowledges that the sale wasn't a ten-minute transaction. It shows you remember details and that you're available without being pushy.

Example 3: Family or milestone purchase

"It was a pleasure helping you find the right Highlander for your family. I hope everyone loves it, and that the third row makes the carpool runs a little easier. If anything comes up—questions about the tech, service scheduling, anything—don't hesitate to reach out."

When the purchase had context (a growing family, a first car, a retirement gift), reference it. It signals that you were paying attention.

Example 4: Opening the door to referrals, gently

"Thank you for your business and for the time you spent with me last week. I hope you're enjoying the Camry. If you have friends or family who are ever in the market, I'd be grateful for the introduction—but mostly, I just want to make sure you're taken care of. Call me anytime."

This is how you ask for referrals without making it the point of the letter. You've earned the right to mention it after you've thanked them and offered help.

What not to write

Avoid anything that sounds like a marketing email or makes the note about you instead of them.

Don't write: "We strive to provide world-class service and exceed expectations every day."

Don't write: "Please leave us a five-star review on Google! Here's the link."

Don't write: "As a premier dealership in the region, we take pride in our award-winning customer experience."

The first one is filler. The second one turns a thank-you into a demand. The third one is about your dealership, not their Tacoma.

If you want to ask for a review, do it in a separate follow-up a week or two later, after they've had time to drive the car. A thank-you note is not a survey request.

When to send it

Mail the note so it arrives within three to five days of delivery. That timing feels immediate without being automated. If you're writing it yourself by hand, it takes four minutes and carries more weight than any template. If your schedule or volume makes that unrealistic, a printed note in a handwriting-style script that actually gets mailed is better than a hand-written one that stays on your desk.

The real goal

The point of a post-delivery thank-you is to be the one salesperson the buyer remembers when their sister mentions she's shopping, or when they come back in three years. That happens when the note sounds like it came from a person who remembers them, not a CRM trigger. Write it that way.
